Terms and Conditions

    Article1. Scope of application
  1. Any accommodation agreement and related agreement entered into between Ikoisanso and the Guest is subject to these Terms and Conditions. Any items not provided for herein shall be governed by laws and regulations and generally accepted practices.
  2. In case Ikoisanso has entered into a special agreement and related agreement with the Guest in accordance with these Terms and Conditions, laws and regulations and generally accepted practices, the same shall take precedence notwithstanding the provisions of the preceding paragraph.
    Article 2. Application for accommodation agreement
  1. Any individual who applies for an accommodation agreement with Ikoisanso shall provide the following information:
    1. name, age, gender, address, telephone number and occupation;
    2. date(s) of accommodation and estimated time of arrival; and
    3. any other information deemed necessary by Ikoisanso.
  2. If the Guest requests to extend their stay beyond the date(s) provided for in item (ii) above, such shall be regarded as a separate application for an accommodation agreement at the time such request is made
    Article 3. Execution of accommodation agreement
  1. An accommodation agreement shall be deemed as executed upon acceptance of the application by Ikoisanso as stipulated in the preceding Article. However, no accommodation agreement shall be deemed as executed if proven that Ikoisanso has not accepted such application.
  2. In case an accommodation agreement is executed in accordance with the provisions of the preceding paragraph, the Guest shall pay the charge for their entire stay in advance by the date specified by Ikoisanso as a deposit, which shall be allocated towards the charge to be ultimately paid by the Guest.
  3. In the event of an incident as provided for in Article 5, paragraphs 1 to 3, and Article 16 herein, the foregoing deposit shall also be allocated towards the payment of penalty fees and indemnification, in that order, with any residual balance returned to the Guest upon payment of the charge provided for in Article 9.
  4. If the Guest fails to pay the foregoing deposit by the deadline specified by Ikoisanso, the accommodation agreement shall be invalid; however, limited to cases where the deposit deadline is specified to the Guest by Ikoisanso.
    Article 4. Refusal of accommodation agreement
    Ikoisanso may refuse an accommodation agreement in the event of any of the following:
  1. the accommodation application does not conform to the provisions of these Terms and Conditions;
  2. there are no vacancies available;
  3. the individual seeking accommodation is recognized as potentially acting in a manner that violates laws, regulations or public order and decency;
  4. the individual seeking accommodation is clearly recognized as carrying an infectious disease;
  5. the Guest made excessively strong demands to, or unreasonably burdened, Ikoisanso or its employees, or is recognized as having acted in such a way in the past;
  6. Ikoisanso is unable to provide accommodation due to a natural disaster, breakdown or malfunction of facilities or other unavoidable cause;
  7. the individual seeking accommodation is intoxicated, etc. and recognized as potentially annoying to other guests;
  8. the Guest acts in a way that significantly annoys other guests;
  9. the individual seeking accommodation is a member of an organized crime group under Article 2-6 of the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), or a related party or other party related to an anti-social force under Article 2-2 of said Act; or
  10. the individual seeking accommodation corresponds to any of the provisions of Article 16 of the Nagano Prefecture Ordinance for the Enforcement of the Hotel Business Act.
    Article 5. Right to cancel accommodation agreement
  1. If an applicant of an accommodation agreement cancelled the same either wholly or partially (excluding where Ikoisanso requested payment of the deposit specifying the deadline therefor as prescribed in Article 3-2 herein and the applicant cancelled the accommodation agreement prior to payment), the applicant shall pay a penalty as provided for in “Appendix 2. Cancellation fees.”
  2. If the Guest does not appear by 7pm on the accommodation date without advance notice (2 hours after the expected time of arrival if having notified Ikoisanso), Ikoisanso may deem the accommodation agreement as having been cancelled by the Guest.
  3. In case of a deemed cancellation per the previous paragraph whereby the Guest failed to arrive at Ikoisanso and contact the same, however, the Guest proved that such was due to the suspension or delay of public transportation or other reason not attributable thereto, the penalty fee provided for in paragraph 1 shall not be imposed.
  4. Ikoisanso may cancel an accommodation agreement in the event of any of the following, unless otherwise provided for separately:
    1. the Guest corresponds to Article 4, paragraphs 3 to 9; or
    2. the Guest fails to pay the deposit provided for in Article 3-2 by the deadline.
  5. In case of the cancellation of an accommodation agreement per the previous paragraph, Ikoisanso shall return the deposit received upon reservation, if any.
    Article 6. Registration
  1. Each Guest shall provide the following information at the reception desk on the accommodation date:
    1. name, age, gender, address and occupation;
    2. in case of a foreign national, country of nationality, passport number and port and date of entry in Japan;
    3. date and estimated time of departure; and
    4. any other information deemed necessary by Ikoisanso.
  2. Foreign nationals who do not reside in Japan shall present their passport at the reception desk and allow the staff to produce a copy thereof.
  3. In case the Guest intends to pay the accommodation charge prescribed in Article 10 by any means other than Japanese currency, such as a traveler’s check, voucher or credit card, such shall be presented in advance upon registration prescribed in the preceding Paragraph.
    Article 7. Guest room occupation time
  1. The Guest may occupy the guest room from 3pm on the arrival date to 10am on the departure date. However, in case of stays of two or more days, the Guest may occupy the guest room all day except for the days of arrival and departure.
  2. Ikoisanso may, regardless of the previous paragraph, allow guest room occupation during hours beyond the foregoing check-out time. In such case, the following additional charges shall apply:

    Article 8. Business hours
  1. The business hours of Ikoisanso’s main facilities are as follows, while those of other facilities, etc. shall be provided in brochures, notices displayed in at various locations in the common areas, and in the guest rooms.
    1. Reception: 7:30am to 10pm
    2. Guest bath: 24 hours (except when being cleaned)
  2. The hours specified in the preceding paragraph are subject to temporary modification due to unavoidable circumstances whereby the Guest shall be informed by appropriate means.
    Article 9. Payment of accommodation charges
  1. A breakdown of accommodation charges payable by the Guest is provided in “Appendix 1. Breakdown of accommodation and other charges.”
  2. The foregoing accommodation charges shall be settled at the reception desk in Japanese yen or by voucher, credit card or other method accepted by Ikoisanso upon departure or whenever requested by Ikoisanso staff.
    Article 10. Compliance with Guest Rules
  1. When occupying any Ikoisanso guest room or common area, the Guest shall comply with the Guest Rules established by Ikoisanso displayed therein.
    Article 11. Refusal of stay extension
  1. Ikoisanso may refuse the extension of a stay in the following case even if requested during the period of the accommodation.
    1. In case of corresponding with Article 4, (3) to (8)
    Article 12. Liability of Ikoisanso
  1. Ikoisanso shall indemnify the Guest for damages incurred thereby as a result of the fulfillment or nonfulfillment of any accommodation agreement and related agreement. However, notwithstanding cases where such damages are not attributable to Ikoisanso.
  2. Ikoisanso is certified for fireproofing in conformance with local fire department standards and is covered by travel liability insurance in the event of fire or natural disaster.
    Article 13. Procedure in case of contracted guest room unavailability
  1. Ikoisanso shall, in case a contracted guest room is unavailable, arrange on behalf of the Guest accommodation at another facility under the same conditions to the extent possible.
  2. Irrespective of the previous paragraph, in case other accommodation cannot be arranged, Ikoisanso shall pay the Guest compensation equivalent to the penalty fee which shall be allocated towards indemnification. However, in case a guest room is unavailable due to reasons not attributable to Ikoisanso, no compensation shall be paid.
    Article 14. Handling deposited articles
  1. Ikoisanso shall indemnify the Guest for damages incurred due to loss, breakage or other damage of physical property, cash or valuables deposited at the reception desk by the Guest, except in case of a force majeure. However, regarding cash and valuables, in case Ikoisanso requests the Guest to report the type and value thereof but the latter fails to do so, indemnification shall be limited to \150,000.
  2. Ikoisanso shall indemnify the Guest for damages incurred due to loss, breakage or other damage to physical property, cash or valuables brought to the premises thereof by the Guest but not deposited at the reception desk either intentionally or negligently on the part of Ikoisanso. However, in case the type and value thereof were not reported in advance by the Guest, indemnification shall be limited to \150,000.
    Article 15. Storage of luggage or belongings
  1. In case the Guest’s luggage arrives at Ikoisanso before the scheduled arrival, Ikoisanso shall be responsible for the storage thereof only if acknowledged in advance whereby the same is subsequently handed to the Guest at the reception desk upon check-in.
  2. In case the Guest leaves luggage or belongings behind after check-out and ownership thereof is confirmed, Ikoisanso shall contact the owner and request instructions. However, where no such instruction is provided by the owner or when ownership is not confirmed, Ikoisanso shall store such article(s) for seven (7) days including the date of discovery thereof and thereafter turn the same over to the nearest police station.
  3. The liability of Ikoisanso with regard to the storage of the Guest’s luggage or belongings in case of the preceding two (2) paragraphs shall be in accordance with Article 14-1 in case of paragraph 1, or with Article 14-2 in the case of paragraph 2.
    Article 16. Liability regarding parking
  1. Ikoisanso, which only offers parking space, shall not be liable for the management of a Guest vehicle parked in the parking area thereof, regardless of whether the Guest deposited the vehicle key(s) at the reception desk. However, Ikoisanso shall indemnify the Guest for any damages incurred thereto as a result of parking lot management either intentionally or negligently on the part of Ikoisanso.
    Article 17. Guest liability
  1. The Guest may indemnify Ikoisanso for damages incurred thereby resulting from an intentional or negligent act committed by the Guest.
  2. The Guest shall indemnify Ikoisanso for up to 50,000 yen in case of damage to the bedding, curtains, wallpaper, tatami mats or other facilities incurred thereby resulting from an intentional or negligent act committed by the Guest as compensation for loss of business during the period of time allotted for the cleaning or repair thereof.
    Article 18. Governing language
  1. These Terms and Conditions are prepared in Japanese and English, however, in case of a discrepancy between them, the Japanese version shall take precedence.

Appendix 2.

Cancellation fees
In case of a no-show or cancellation on the reservation date or up to 3 days prior: 100%
In case of cancellation between 4 and 7 days prior to the reservation date: 40%
In case of cancellation between 8 and 14 days prior to the reservation date: 30%
  1. Note: Figures represent penalty fee rates as percentages of accommodation charges. In case the number of days in a reservation is reduced, the amount equivalent to one (1) day (initial day) shall be imposed as a penalty fee regardless of the number of days reduced.
